Standard Operating Procedures (SOPs) give your team a shared, searchable place to document how work gets done, then link those procedures directly to the work orders and purchase orders they apply to. The SOPs section is available to every team member, with no plan, role, or beta gate.
- Organize procedures in a folder tree and browse them in a two-pane library.
- Write procedures in a rich-text editor with headings, lists, and links.
- Tag SOPs and file them into folders so they are easy to find.
- Attach reference files (PDFs, spreadsheets, documents, and images) to any SOP.
- Search by title, across all SOPs or within a single folder.
- Link an SOP to the work orders and purchase orders it applies to, and see everywhere it is used.
Open the SOPs section from the sidebar. The library has two panes:
- On the left, a folder tree.
- On the right, the SOP list for whatever you have selected, with a count.
Select "All SOPs" to see every SOP in your organization, or select a folder to narrow the list to just that folder's procedures.
Use the title search to find an SOP by name. Search narrows within the folder you have selected, or searches across every SOP when "All SOPs" is selected.
Folders keep related procedures together (for example, "Receiving", "Packing", or "Safety").
From the SOP library, create a new folder.
Rename a folder at any time to keep your structure tidy.
Move a folder to reorganize where it sits in the tree.
Delete a folder when you no longer need it.
Note: A folder must be empty before you can delete it. Move or remove its SOPs and any subfolders first, then delete the folder.
You can create a new SOP from the library, then open it to write and format the content.
Create a new SOP from the SOP library.
Give it a clear title.
Assign it to a folder and add tags so it is easy to find later.
Write the procedure in the rich-text editor.
Save your changes.
The rich-text editor supports:
- Bold, italic, and underline
- Headings
- Bullet lists and numbered lists
- Links
To make changes later, open the SOP and switch to Edit. You can update the title, folder, tags, and body. When you are viewing an SOP, it shows the rendered body along with its tags and folder breadcrumb.
Note: For safety, SOP content is automatically cleaned (sanitized) when you save it and again when it is displayed.
To remove an SOP entirely, use Delete on the SOP.
Attach supporting files to an SOP, such as a filled-in form, a diagram, or a supplier document.
- Supported file types: PDF, CSV, Excel, Word, and images.
- Maximum size: 30 MB per file.
- You can download attachments, and preview PDFs directly in the app.
Note: Removing a file from an SOP detaches it from that SOP. It does not delete the underlying upload.
You can connect a procedure to the documents where it should be followed, so the right instructions are always one click away.
Reference an SOP from a work order and from a purchase order. These links are additive (you can add several) and removable.
Open an SOP to see its "Used by" view, which lists every work order and purchase order that references it. This makes it easy to check where a procedure is in use before you edit or retire it.
