Delivery notifications send an email whenever a purchase-order shipment updates, so you and your team know when goods have shipped, are out for delivery, have arrived, or have run into a problem, without watching each PO by hand. You control who gets notified and about what at three levels: organization defaults, your own personal preferences, and per-purchase-order overrides.
- Organization defaults and your personal preferences live at Settings → Notifications.
- Per-purchase-order overrides live on each PO's Tracking tab (Purchasing → Purchase Orders → open a PO → Tracking).
The layers stack from broadest to most specific, and a more specific layer wins:
Organization defaults decide who is notified for which events across all purchase orders.
Your personal preferences override the organization default for your own account only.
A per-PO override adjusts recipients (or mutes notifications entirely) for one purchase order.
Note: Because personal preferences override the organization default only for your account, teammates can each choose their own experience without affecting anyone else.
Events are grouped so you can pick exactly the updates you want and leave out the noisy ones. The available events are:
- Milestones: Shipped / picked up, Out for delivery, Delivered, Available for pickup.
- Problems: Delivery exception (failed delivery attempts, address issues, held packages), Returned to sender, Delayed (carrier-reported delays, including weather).
- Delivery date: Delivery date set (when an estimated delivery date first appears), Delivery date changed (each time the carrier revises the ETA, which can be frequent).
- Detailed tracking: In-transit scans (every facility scan along the way, which is noisy).
Tip: Milestones plus Problems is a good starting point for most teams. Turn on Delivery date changed and In-transit scans only if you want the play-by-play, since those can send many emails per shipment.
Organization defaults control who is notified for which events by default, for every purchase order. Members can override these for themselves.
Go to Settings → Notifications.
In the Organization defaults section, turn on Enabled by default to notify the members and emails you list below. Turn it off to send no default delivery emails for the organization.
Under Team members, check each teammate who should be notified by default.
Under Additional emails, type an email address and press Enter or choose Add to include recipients who are not team members (for example a warehouse or receiving inbox). Remove one with the X on its tag.
Under Events, switch on each event the default recipients should receive.
Choose Save.
Note: When defaults are enabled, you must add at least one team member or email address before you can save.
Your preferences override the organization default for your own account only.
Go to Settings → Notifications.
In the Your preferences section, open the Notify me about deliveries dropdown and choose one:
- Use org default: follow whatever the organization default says for you.
- Always notify me: receive delivery emails even if you are not in the organization default.
- Never notify me: stop all delivery emails for your account.
To pick your own events, turn on Choose my own events, then switch each event on or off. Leave it off to use the organization's event selection.
Choose Save.
Per-PO overrides let you tailor a single shipment: add someone who should watch just this order, drop someone who should not, or silence a PO entirely. These changes apply to that purchase order only.
Open the purchase order (Purchasing → Purchase Orders), then select the Tracking tab.
Find the Delivery notifications card.
To silence just this order, turn on Mute this purchase order. No delivery emails go out for this PO regardless of recipients.
To change who is notified, leave it unmuted. The recipient list starts from your organization and personal settings; add or remove team members and additional emails for this purchase order only.
Choose Save. To go back to your organization and personal defaults, clear your changes (and unmute) and save again.
Note: Recipients you add or remove here are deltas against the inherited list, so later changes to your organization or personal defaults still flow through to this PO, except where you have specifically added or removed someone.
