Untracked parts (Pro)

Untracked parts are the small consumables that go into a build but are not worth tracking as inventory: screws, glue, labels, tape, and the like. Organizely keeps them in an org-wide registry so you can add their cost and documentation to a bill of materials without ever counting them as stock.
This feature is part of Raw-Material Tracking and requires the Pro plan. If you do not see the Untracked Parts page under Catalog, your organization is not on a plan that includes it.

What an untracked part is

An untracked part belongs on a bill of materials for cost and documentation, but it is never stock-tracked. That means:
  • It does not have an inventory quantity and is never counted, transferred, or received.
  • Its cost still rolls into the assembly's material total, so your costed bill of materials stays accurate.
  • The build engine never consumes it. Building an assembly moves the tracked component stock only; untracked parts have no inventory impact.
Use untracked parts for anything you want reflected in cost or shown on a recipe, but that is not practical to hold and count as stock.

Open the registry

The registry lives at Catalog → Untracked Parts. From here you can create, edit, and archive parts, and see where each one is used.

Add a part to the registry

    Go to Catalog → Untracked Parts.
    Select Add part.
    Give the part a name (for example "M3x8 stainless screw" or "Shipping label").
    Fill in any of the optional details below.
    Select Create part.

Part details

Every field beyond the name is optional, so you can capture as much or as little as you need:
  • Part number : your internal or supplier part code for the item.
  • Unit of measure : the label for how the part is measured (for example each, ml, or roll).
  • Supplier : the supplier you source the part from.
  • Default unit cost (USD) : the per-unit cost, in your base currency, used when the part is added to a bill of materials.
  • Notes : any free-text notes about the part.
The default unit cost is what feeds the material rollup. If you leave it blank, the part still appears on the bill of materials, but it adds nothing to the material cost until a cost is set (the assembly's cost is flagged as incomplete for that line).
Editing a part's details, including its cost, never re-prices work orders that already froze the part at release. Existing released work orders keep the values they captured.

Add an untracked part to a bill of materials

Untracked parts are attached to a variant's bill of materials, alongside the tracked components it is built from.
    Open the product, then open the variant you want to edit.
    Go to the variant's Bill of Materials (Materials) tab.
    Find the Untracked Materials section beneath the tracked components.
    Add an untracked part from the registry, then set the Quantity per unit (how much of the part one finished unit uses; fractional amounts are allowed).
    Optionally override the unit of measure for this line or add a note, then save.
The part's cost rolls into the assembly's total material cost the same way a tracked component does, but it never affects buildable quantity or stock, because it is not counted.

Add untracked parts to a work order

On a draft work order you can also add, edit, and remove untracked parts on its bill of materials. Their cost rolls into the work order's estimated material cost the same way it does on the catalog bill of materials, with no inventory effect.

See where a part is used

Each part has a Where used view that lists the assemblies that consume it. Check it before you change a cost or archive a part so you know which products are affected.

Archive a part instead of deleting it

Parts are archived, never deleted. Archiving hides a part from pickers so no one adds it to new recipes, while keeping it on record so historical work orders and bills of materials keep resolving correctly.
    Open Catalog → Untracked Parts.
    Open the part's menu (the three-dot menu on its row) and choose Archive.
The part stays attached wherever it was already used; it is simply removed from the lists you pick new parts from. You can Unarchive it later from the same menu.
