Create sales orders by hand when they do not come in through a connected store, for example phone, email, wholesale, or one-off orders. This page walks through the New Order form.
Note: Creating and managing orders is available to managers and admins. Other team members can view orders but not create them.
In the sidebar, open (listed just below Catalog). This lands on the orders list (the tab).
Click the button at the top of the list.
The form has two columns: the main details on the left and an plus on the right. You can add line items here, and you can also add more after the order is created.
At the top of the form, fill in the basics:
- (required): a label for the order.
- (optional): a scannable code for the order.
- : defaults to today's date and time. Change it to backdate an order.
- : the email tied to the order itself.
- and (both required, default to 0.00): the shipping and tax charged on the order.
- : an amount taken off the whole order.
- and : type a value and press Enter to add each one.
In the section, click .
In , search for a product variant and select it. This auto-fills the , , and from the variant. After selecting, a small image preview and a "View product variant" link appear.
Adjust the fields as needed:
- (required): the line label.
- (required): at least 1.
- (required): the per-unit price.
- (optional): an amount off this line.
- (optional).
Click again for each additional product. Use the trash icon on a line to remove it.
Tip: You can type a manually instead of choosing a variant, which is useful for custom or non-catalog items. Selecting a variant is what links the line to a real product and pulls its price and SKU.
- : enter the customer's , , and .
- : fill in Address Line 1 and 2, City, Province/State, Country, ZIP/Postal Code, and Phone Number as needed.
- : leave checked to reuse the shipping address, or uncheck it to enter a separate billing address.
On the right, set the :
- : Authorized, Expired, Paid, Partially Paid, Partially Refunded, Pending (the default), Refunded, or Voided.
- : Fulfilled, In Progress, On Hold, Open, Partially Fulfilled, Pending Fulfillment, Request Declined, Restocked, Scheduled, or Unfulfilled.
- and : toggle these as they apply.
The updates live as you type. It shows line items before discounts, any item discounts, the subtotal, shipping, tax, any order discount, and the total. The math is:
- Subtotal = for each line, (price times quantity) minus that line's discount.
- Total = subtotal plus shipping plus tax, minus any order discount.
Review the summary and status.
Click . A success message appears when the order is saved.
After the order is created, open it from the Orders list to keep working on it: link line items to a purchase order, set a per-line cost (COGS), and review the Order Profitability panel on the order detail page.
