Creating a manual order

Create sales orders by hand when they do not come in through a connected store, for example phone, email, wholesale, or one-off orders. This page walks through the New Order form.
Note: Creating and managing orders is available to managers and admins. Other team members can view orders but not create them.

Open the new order form

    In the sidebar, open Orders (listed just below Catalog). This lands on the orders list (the Manage tab).
    Click the New Order button at the top of the list.
The form has two columns: the main details on the left and an Order Summary plus Order Status on the right. You can add line items here, and you can also add more after the order is created.

Enter the order details

At the top of the form, fill in the basics:
  • Order Name (required): a label for the order.
  • Barcode (optional): a scannable code for the order.
  • Order Created At : defaults to today's date and time. Change it to backdate an order.
  • Order E-mail : the email tied to the order itself.
  • Shipping Price and Tax Amount (both required, default to 0.00): the shipping and tax charged on the order.
  • Order Discount : an amount taken off the whole order.
  • Discount Codes and Tags : type a value and press Enter to add each one.

Add line items

    In the Line Items section, click Add Item .
    In Product Variant , search for a product variant and select it. This auto-fills the Title , SKU , and Price from the variant. After selecting, a small image preview and a "View product variant" link appear.
    Adjust the fields as needed:
  • Title (required): the line label.
  • Quantity (required): at least 1.
  • Price (required): the per-unit price.
  • Discount (optional): an amount off this line.
  • SKU (optional).
    Click Add Item again for each additional product. Use the trash icon on a line to remove it.
Tip: You can type a Title manually instead of choosing a variant, which is useful for custom or non-catalog items. Selecting a variant is what links the line to a real product and pulls its price and SKU.

Add customer and address details

  • Customer Information : enter the customer's Customer Email , First Name , and Last Name .
  • Shipping Address : fill in Address Line 1 and 2, City, Province/State, Country, ZIP/Postal Code, and Phone Number as needed.
  • Billing Address : leave Same as shipping address checked to reuse the shipping address, or uncheck it to enter a separate billing address.

Set status and review totals

On the right, set the Order Status:
  • Financial Status : Authorized, Expired, Paid, Partially Paid, Partially Refunded, Pending (the default), Refunded, or Voided.
  • Fulfillment Status : Fulfilled, In Progress, On Hold, Open, Partially Fulfilled, Pending Fulfillment, Request Declined, Restocked, Scheduled, or Unfulfilled.
  • Tax exempt and Requires shipping : toggle these as they apply.
The Order Summary updates live as you type. It shows line items before discounts, any item discounts, the subtotal, shipping, tax, any order discount, and the total. The math is:
  • Subtotal = for each line, (price times quantity) minus that line's discount.
  • Total = subtotal plus shipping plus tax, minus any order discount.

Submit the order

    Review the summary and status.
    Click Create Order . A success message appears when the order is saved.
After the order is created, open it from the Orders list to keep working on it: link line items to a purchase order, set a per-line cost (COGS), and review the Order Profitability panel on the order detail page.
