Shipping addresses

Save a shipping address once and reuse it on any purchase order when goods need to ship somewhere other than the location that is receiving them. Manage your saved destinations from Purchasing → Shipping Addresses, then pick one on a PO when you need it.

What you can do

  • Save reusable ship-to destinations and manage them in one place (create, edit, delete).
  • Choose a custom shipping address on a purchase order when goods ship somewhere other than the PO's receiving location.
  • Create a new address inline from the PO, without leaving the page.
  • Rely on a snapshot: the PO freezes the address it used, so later edits never rewrite past POs.
  • Override the "Ship to" block on your branded PO PDF with the custom address.

Save a reusable shipping address

    Go to Purchasing → Shipping Addresses.
    Create a new address and fill in the details:
  • Label (a short name so you can recognize it in the picker)
  • Recipient name
  • Address line 1 and line 2
  • City, State / Province, ZIP / Postal code, and Country
  • Phone and email
  • Notes (internal only, not printed on the PO)
    Save. The address now appears in the table and in the address picker on purchase orders.
From the same table you can edit or delete any saved address at any time.
Tip: Give each address a clear label (for example "East Coast 3PL" or "Trade show booth"), since the label is what you pick from on a purchase order.

Use a custom shipping address on a purchase order

By default, a purchase order ships to its receiving location. When the goods need to go somewhere else, pick a custom address instead.
    Open the purchase order (or start a new one).
    On the top row (next to Status and Location), find the "Custom shipping address" field.
    Leave it empty (it shows "Use location address") to keep shipping to the PO's receiving location, or pick a saved address to ship there instead.
    If the destination is not saved yet, choose "Create a shipping address" from the picker. This opens a "New shipping address" form; saving it adds the address to your Shipping Addresses list and applies it to this PO in one step.

How the address snapshot works

When you pick a custom shipping address, the purchase order takes a snapshot (a frozen copy) of that address at that moment.
  • Editing a saved address later does not change purchase orders that already used it.
  • Deleting a saved address does not change purchase orders that already used it.
  • Each PO keeps the exact address it was created with, so past POs stay accurate as your saved list evolves.
Note: Because the address is snapshotted per PO, updating a saved destination only affects purchase orders you create or attach it to afterward.

The address on the PO PDF

The branded purchase-order PDF includes a "Ship to" block, which normally shows the PO's receiving-location address. When a PO has a custom shipping address, that custom address overrides the receiving-location address in the "Ship to" block, so your supplier sees exactly where to send the goods.
You control whether the "Ship to" block appears at all from Purchasing → Settings, alongside the other PO PDF branding options.
