Suppliers are the vendors you buy stock from. Organizely keeps each supplier's contact details, business terms (payment terms, lead time, minimum order quantity), the items you source from them, and related documents together in one place, so raising purchase orders and planning reorders stays fast and consistent.
Where to find suppliers
From the sidebar, open Purchasing → Suppliers to see the full list. Each row shows the supplier's name, status, primary contact, and key terms (lead time and minimum order quantity). Search by name, description, or tag, and filter by status. Selecting a supplier opens its detail page, where the tabs below live.
Add a supplier
Go to Purchasing → Suppliers.
Select New Supplier.
Enter the supplier's basic information (name, status, and optionally a description and website).
Add the primary contact and address.
Set the business terms: currency, lead time in days, minimum order quantity, payment terms, and preferred shipping method. Organizely uses lead time when it plans reorders and forecasts demand.
Optionally add tags, then Create Supplier.
Once saved, the supplier opens on its detail page and is available to select when you create a purchase order.
What you can record on a supplier
Status: Active, Inactive, Under Review, or Blacklisted.
Contact information: a primary contact (name, role, email, phone, and preferred contact app) plus the supplier's address.
Business terms: billing currency, payment terms, lead time (days from order to delivery), minimum order quantity, and preferred shipping method.
Multiple contact persons: more than one contact per supplier, each with their own details (see Multiple contacts below).
Tags: to categorize and organize suppliers.
Files: attach documents directly to the supplier (see Files tab below).
Multiple contacts
A supplier often has more than one person you deal with (sales, accounts, support). Use the Contacts tab on the supplier detail page to add and manage several contact persons for a single supplier, each with their role and preferred way to reach them. This keeps everyone who works with that supplier in one record instead of scattered across notes.
The supplier detail page tabs
Opening a supplier gives you a set of tabs for everything related to that vendor:
Edit Details: edit the supplier's core information (status, basic info, primary contact, address, business terms, and tags).
Contacts: add, edit, and manage the supplier's additional contact persons.
Files: attach and manage documents for the supplier (see below).
Purchasing: a Price list of the items you source from this supplier (each item's cost, supplier SKU, a Preferred marker, and per-item lead time and minimum order quantity), plus default demand-planning settings for the supplier. The price list is read-only here; you edit it from each item's Purchasing tab in the Catalog.
Files tab
Use the Files tab to keep supplier paperwork attached directly to the supplier, so contracts and price lists are never lost in email.
Open the supplier, then go to the Files tab.
Drag and drop a file onto the upload area, or select Choose Files to browse.
The file uploads and appears in the supplier's file list.
What you can attach and do:
Attach documents such as contracts, price lists, certificates, and invoices. Supported types are PDF, CSV, Excel, Word, and images (PNG, JPG).
Upload files up to 30 MB each.
Download any attached file.
Preview PDFs in the app without downloading them first.
Remove an attachment when it is no longer needed.
Tip: Keep the supplier's signed contract or current certificate on the Files tab so it is easy to reference before you send a purchase order.
Supplier performance and analytics
Organizely's analytics track supplier performance over time, including lead-time analysis, purchase history, and cost analysis, drawn from your actual purchasing activity. The terms you record (lead time, minimum order quantity, and per-item costs) also feed reorder planning and demand forecasting, so the suggestions account for how long a supplier takes to deliver.
Suppliers and purchase orders
Suppliers connect directly to your purchasing workflow:
When you create a purchase order, you select the supplier it is going to.
The branded, supplier-facing PO PDF includes the supplier's full address and contact details.
You can source a product or variant from one or more suppliers in the Catalog (on a variant's or product's Purchasing tab). On a variant, one supplier is marked preferred and becomes the default when you raise a purchase order for that item; on a product, one supplier is the primary . Those sourced items and their costs then appear on the supplier's Purchasing tab Price list.
