Roles and inviting members

Every team member gets their own login. What they can see and do is set by their role, and admins can fine-tune access per role or per person. This guide covers inviting people, the three built-in roles, and how to customize access.

The three roles

Every member has one role. Roles set what shows up in the sidebar and what actions are allowed.
  • Admin : Full access to everything, including billing, the team and permissions settings, and all other admin-only areas. Only admins can manage billing, edit the permission matrix, and manage other admins and managers.
  • Manager : Full operational and management access (catalog, orders, purchasing, warehouse, demand planning, integrations, and more), with everything except billing and the other admin-only settings.
  • Worker : A focused, operational role for day-to-day floor work, centered on the warehouse and catalog tasks a worker needs. Workers get a deliberately minimal sidebar (see below).
Note: These are the defaults. Admins can adjust exactly what Managers and Workers can access (see "Customize what a role can access" below). Roles left at their defaults behave like the classic three-tier setup.

Invite a team member

New members are added by email from Team → Manage.
    Go to Team → Manage.
    Select Invite User .
    In the Invite Users dialog, enter the person's Email Address (required) and pick a Role (required). You can also add a first name, last name, and job title.
    To invite several people at once, select Add Another Invite and fill in each row.
    Select Send Invite (the button reads Send Invites once you have added more than one).
Each person receives an email to set up their account. Until they finish, they appear in the members list with a Pending badge.
Tip: You can change someone's role later at any time, so an invite is not a permanent decision.

Manage existing members

The Team → Manage page lists everyone in your organization with their name, email, job title, role, and the date they were invited. Open the actions menu (the "..." button) on a member's row to:
  • Edit User : Update a member's name, job title, and role.
  • Revoke Access or Reinstate Access : Turn a member's access off or back on without deleting them. A member with access turned off shows a Revoked badge. (Admin only.)
A few limits keep the org safe:
  • You cannot edit or revoke your own account from this page.
  • Managers can manage Workers only.
  • Admins can manage everyone else.

Customize what a role can access

Admins can change exactly which areas each role reaches, so Manager and Worker fit how your team works.
    Go to Team → Roles and Permissions (admin only).
    You will see a matrix with one row per role and one column per feature area: Team and users, Activity logs, Automations, Demand planning, Reports, Integrations, Settings, Catalog, Warehouse, Orders, Billing, API keys, Imports, and Manufacturing.
    Check or uncheck the areas for the Manager or Worker row.
    Select Save on that row.
Saved changes apply to everyone with that role, unless a specific person has a custom override set on their profile.
Note: The Admin role always has full access and cannot be restricted. Its row shows a "Full access" badge and is locked, so your organization can never lock itself out of admin.
Note: The Manufacturing area requires the Raw-Material Tracking (Pro plan) entitlement. Granting it to Workers lets them be assigned work orders.

Set custom access for one person

Sometimes one person needs more (or less) than their role's defaults. Admins can override permissions per user.
    Go to Team → Manage and open Edit User for that person.
    Turn on Custom permissions for this user .
    Check exactly the areas that person should be able to access. These checkboxes now override what their role would normally grant.
    Select Save Changes .
When the override is off, the person simply inherits their role's permissions (the dialog shows those inherited areas for reference).
Note: If a person already has a saved custom override, turning the toggle off does not remove it right away. It stays in effect until you change it. Turn the override back on to edit it.

What Workers see

Workers get a streamlined experience built around getting operational work done, not managing the account:
  • A minimal sidebar showing only the areas their role can reach.
  • The Home page shows a shortcuts panel to their available areas instead of the analytics dashboard (which is admin-only).
  • No access to billing, the Roles and Permissions matrix, or other admin-only settings.
If a Worker needs more, an admin can grant extra areas either to the whole Worker role (in Roles and Permissions) or to that one person (via the per-user override above).
