Oppy AI assistant

Oppy AI assistant

The Oppy AI assistant lets you ask questions about your business in plain language and get instant, conversational answers. Oppy can also take actions for you, such as drafting a purchase order or adding tracking to one. It sits in its own sidebar section, "Oppy AI", so it is always a click away.
Oppy is available on the Pro and Scale plans. If you do not see it in the sidebar, confirm your plan under Settings → Billing.

What Oppy can do

Oppy works across your live Organizely data (products, inventory, orders, purchasing, suppliers, forecasting, tasks, and more). You can use it two ways: to find and understand things, and to get things done.
All conversations are private to your organization, and Oppy only draws on your organization's own data.

Find and analyze

Ask Oppy to look something up or make sense of your numbers. For example:
  • Check stock levels for a product or variant, and find which warehouse and bin it is stored in.
  • Look up orders, purchase orders, suppliers, and products by name, SKU, or reference.
  • Analyze sales and order trends over time, and compare one period against another.
  • Break down profit and margins by product, and surface your best and worst sellers.
  • Understand your customers: who your top customers are, repeat-purchase behavior, and where they are located.
  • Spot inventory problems such as dead or slow-moving stock, turnover, and aging.
  • Review demand forecasts and reorder recommendations, ranked by urgency.
  • See a record's change history: who changed a product, order, or purchase order, and when.
  • Ask general or real-time questions (for example, market or industry context) and Oppy can look them up on the web.

Get things done

Oppy can also carry out actions on your behalf:
  • Create a purchase order. Describe what you need, or upload a supplier quote or invoice, and Oppy drafts the PO for you, matching the supplier and products from your catalog and filling in quantities and prices.
  • Add tracking to a purchase order. Give Oppy a tracking number, or upload a shipping confirmation, and it records the carrier, tracking number, and delivery dates on the PO.
  • Create and assign a task. Ask Oppy to add a task to a board, set its priority and due date, and assign it to a teammate.
Oppy carries out actions right away rather than asking you to confirm first. Purchase orders are created as drafts, so you can always review and adjust them before sending.

Working with files

You can attach a file to your message (a PDF, spreadsheet, image, or text file) and Oppy will read it, including scanned or photographed documents. This is what powers the file-based actions above:
  • Upload a supplier's quote or invoice and ask Oppy to turn it into a draft purchase order.
  • Upload a shipping confirmation and ask Oppy to pull the tracking number onto the right PO.
Any file you attach to a request is saved to the record Oppy creates, so the original document stays with the purchase order on its Files tab.
When Oppy builds a purchase order, it matches suppliers and products from your catalog by name. If a name is unclear or has no match, Oppy leaves that part blank and still creates the PO, so you can link it yourself.
Tip: you can also launch these from the Purchase Orders page without opening a chat. Use New Purchase Order → From file to draft a PO from a document, or the From file button on a PO's Tracking tab to add tracking. Both hand the file to Oppy and open the result in a chat.

Starting a conversation

Open Oppy AI → Chats from the sidebar.
Type your question in the message box at the bottom and send it. To work from a document, attach it to your message first.
Watch the answer stream in, then ask a follow-up in the same thread to keep the context going.
If you are not sure where to begin, try something concrete like "Which products are lowest on stock right now?" or "Draft a PO to reorder my best sellers."
Your chat is saved automatically, so you can leave and come back to it later.

Managing multiple chats

You can keep as many separate conversations as you like, which is handy for keeping different topics apart.
  • To start a fresh thread, select New Chat at the top of the chat list.
  • Your existing chats are listed with the date of the last message and a message count. Select any chat to reopen it.
  • If you have a lot of chats, only your most recent ones show at first; select the Show more link at the bottom of the list to reveal the older ones.

Rename a chat

In the chat list, open the options menu (the three-dot icon) next to the chat.
    Choose Rename.
Enter a new name and confirm.

Delete a chat

In the chat list, open the options menu next to the chat.
    Choose Delete.
    Confirm in the dialog.
Deleting a chat is permanent. All messages in that chat are removed and cannot be recovered.

Custom AI instructions

You can shape how Oppy responds by giving it standing instructions that apply to all of your conversations.
    Open Oppy AI → Settings.
In the Custom Instructions box, describe how you want Oppy to behave. For example, you can set a preferred tone, a response format, or business context Oppy should always keep in mind.
Select Save Changes. Use Reset to discard unsaved edits.
Your instructions take effect on your next messages.

Good to know

  • Treat Oppy's answers as a helpful starting point, and double-check anything you plan to act on against the underlying records.
  • Review any purchase order Oppy drafts before you send it, especially the supplier, line items, and prices.
  • Because Oppy is conversational, more specific questions generally get more useful answers. Include the product, variant, supplier, or time period you care about.
  • When you ask about long histories, Oppy focuses on your most recent activity, so it is most accurate for recent orders and changes.
